changed the coolant but it only took about 3.5ltr to refill it. is that normal

Yeah that's correct, the books are garbage. Even with open thermostat its 3.5

Sounds about right - remember when you drain the system you are not draining the block. this is why it is important to flush the old coolant out so what is remaining in the system when you do the final drain is just water. You then find out the total capacity of the cooling system and add neat antifreeze at first to make sure you get a 50/50 mix. If you drain the system without draining the block and then add a 50/50 mix it will be much to weak by the time it mixes with the water left in the system.

You can get info on coolant, oil, gearbox oil etc by doing a search on oil manufacturer websites.
Comma, She'll, Mobil, Morris and Liqui Moly are all decent and Inhave used them several times when researching an oil purchase.
